Privacy Policy

Last updated: October 22, 2025

We're pretty straightforward about how we handle your info. Here's everything you need to know.

Look, we get it

Privacy policies can be a drag to read through. But honestly? We think it's pretty important you know what happens with your information when you reach out to us or browse our site.

At Quartz Realm Architecture, we're not in the business of selling data or doing anything sketchy. We're architects who happen to have a website, not a tech company mining your personal details. This policy explains what we do collect, why we need it, and how we keep it safe.

What Information We Actually Collect

Contact Details

When you fill out our contact form or send us an email, we collect your name, email address, phone number, and whatever message you send our way. Pretty standard stuff – we can't respond if we don't know who's asking!

Project Information

If you're inquiring about a project, we'll collect details about your property, budget range, timeline, and design preferences. Helps us figure out if we're the right fit for what you're dreaming up.

Website Analytics

We use basic analytics to see how people use our site – which pages get visited, how long folks stick around, that kind of thing. It's anonymized data that helps us make the site better.

Technical Stuff

Your browser automatically sends us things like IP address, browser type, and device info. We don't do much with this beyond making sure the site works properly on different devices.

What We Do With Your Info

Here's the honest truth about what happens with your information:

  • Responding to you: When you contact us, we use your info to get back to you. Seems obvious, but yeah – that's the main thing.
  • Project discussions: If we're working together or talking about a potential project, we'll keep your details on file to maintain continuity in our conversations.
  • Improving our services: We look at general patterns in inquiries to understand what people are looking for and how we can serve our clients better.
  • Legal compliance: Sometimes we're required to keep records for tax purposes or professional liability reasons. It's part of running a legitimate architectural practice.
  • Website functionality: Making sure forms work, pages load properly, and you can actually navigate the site without issues.

Who Sees Your Information

Short answer: Pretty much nobody outside our team.

We don't sell your data. Period. We're not in that business. Your contact info stays with us unless there's a specific reason to share it.

The few exceptions:
Consultants & Contractors

If we're working on your project, we might need to share relevant details with engineers, contractors, or other specialists. Only what's necessary for the job.

Service Providers

We use third-party services for things like email hosting and website analytics. They're bound by their own privacy policies and can't use your data for anything else.

Legal Requirements

If we're legally required to disclose information (court order, regulatory demand, etc.), we'll comply. But we'd let you know if we're able to.

Cookies & Tracking Tech

Yeah, we use cookies – but not the chocolate chip kind. These are small files that help the website remember you and work better.

Essential Cookies

These keep the site functioning. They remember your preferences and help forms work properly. Can't really turn these off if you want to use the site.

Analytics Cookies

Help us understand how visitors use the site. It's anonymized data – we can see someone visited the portfolio page, but not who specifically.

You can disable cookies in your browser settings, though some parts of the site might not work as smoothly.

Your Rights & Choices

You've got control over your personal information. Here's what you can do:

Want to know what information we have about you? Just ask. We'll send you a copy of everything we've got on file. Usually takes us a few days to pull it together.

Got a new email address? Changed your phone number? Let us know and we'll update our records. We want to make sure we can actually reach you if needed.

Want us to delete your info? We can do that, with some caveats. If we're legally required to keep certain records (like for completed projects), we've gotta hang onto those. But for general inquiries? Yeah, we can wipe that.

We're not big on spam emails anyway, but if you want to stop hearing from us, just say so. There's an unsubscribe link in any emails we send, or you can contact us directly.

How We Keep Your Data Safe

We take reasonable precautions to protect your information. Not gonna claim we're Fort Knox, but we're definitely not leaving your data sitting around unprotected.

Secure Storage

Your data is stored on secure servers with encryption. We limit access to only the team members who actually need it.

Limited Access

Not everyone in our office can access client information. Only people directly involved in projects or client communications.

Regular Backups

We back up data regularly so nothing gets lost. But those backups are stored securely too.

Secure Communications

Our website uses SSL encryption, and we use secure email services. The technical stuff that keeps things private.

How Long We Keep Your Info

We don't hang onto your information forever. Here's the general timeline:

  • General inquiries: If you just sent a quick question and we never worked together, we'll keep it for about a year, then delete it.
  • Active projects: While we're working together and for a reasonable time after (usually 2-3 years), we keep everything related to the project.
  • Completed projects: For professional liability reasons, we're required to keep project records for 7 years after completion. Canadian regulations, not our choice.
  • Financial records: Tax-related stuff gets kept for 7 years as per CRA requirements.

Third-Party Websites

Our site might link to other websites – contractor portfolios, material suppliers, whatever. Once you click those links, you're on their turf and their privacy policies apply. We can't control what they do, so check their policies if you're concerned.

Kids & Privacy

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids. If you're a parent and think your child has given us their information somehow, let us know and we'll delete it immediately.

Changes to This Policy

We might update this privacy policy from time to time. Not planning any major changes, but if laws change or we add new services, we'll need to adjust things.

When we make changes, we'll update the date at the top of this page. If it's something significant, we'll probably send an email to let you know. We're not gonna slip major changes in under the radar.

Questions or Concerns?

If you've got questions about this privacy policy or how we handle your information, don't hesitate to reach out. We're happy to clarify anything.
